What should I prepare before my first shipment?

Keep your pickup address, buyer’s complete address and phone, packed parcel weight and dimensions, product description and order value ready. Check the destination pincode and courier restrictions before taking payment or promising a delivery date. Complete the account verification requested in your seller panel before booking.

Help articles
Why is account verification requested?

Verification links a business and payout bank account to the correct seller. Upload documents only through the official seller panel and check that names and bank details match the documents. If verification is pending or rejected, review the reason or contact support; avoid repeatedly creating new accounts.

Help articles
How do I write a delivery address?

Include recipient name, house or flat number, building or street, locality, city, state and a six-digit pincode. Put a nearby landmark in its own field and confirm a working mobile number. A landmark helps the rider but cannot replace a complete address or correct pincode.

Help articles
What is the difference between an order ID and AWB?

Your order ID identifies a sale in your store. An AWB identifies the parcel with the courier after booking. Keep both in your records, especially for split orders and replacement shipments. Public tracking uses the AWB printed on the label, not your store’s order ID.

Help articles
How do I avoid booking the same order twice?

Before retrying a slow booking, check the shipment list for an AWB against the same order. Keep one internal order reference and mark it booked only after confirmation. If two labels were created, do not hand over both parcels; ask support which unused booking can be cancelled.

Help articles
What should I check before a bulk upload?

Use the current template and keep pincode, phone and order ID columns as text so spreadsheet formatting does not change them. Remove duplicate order references. Validate COD amount, weight units and required addresses on a small sample before submitting the full file. Review row-level errors before booking.

Help articles
How do I keep my seller login safe?

Use your own mobile number and official portal address. Never share login OTPs, passwords or recovery codes with callers, delivery riders or chat groups. Log out on shared devices. If you suspect access you did not authorize, contact support promptly and review recent orders and payout details.

Help articles
Can I change an order after booking?

Check shipment status before changing anything. A correction in your store does not automatically update an already issued courier label. Before pickup, ask whether cancellation and a fresh label are needed. After pickup, address or COD changes require courier approval and may be unavailable; contact support with the AWB.

Help articles
How can I connect my store?

Choose a supported import or connection method from the integrations page. Shopify and WooCommerce connectors are being rolled out; contact the team to confirm availability for your account. Until a connection is enabled, use the supported manual or file import workflow and keep one order reference across systems.

Help articles
Should I weigh the product or the packed parcel?

Weigh the final sealed parcel with its box, fillers, tape and invoice pouch. Use a level surface and a scale that reads small enough increments for your weight slab. Record the reading before printing the label. Product catalogue weight alone can understate what the courier actually handles.

Help articles
How should I measure parcel dimensions?

Measure the outside length, breadth and height of the sealed package in centimetres, including bulges. Use the widest points, not the product’s inner dimensions. For a soft mailer, measure after packing and sealing. Keep the measuring tape visible in photographs if you may need evidence later.

Help articles
What is volumetric weight?

Volumetric weight accounts for the space a parcel occupies. With a divisor of 5000, a 30 × 20 × 15 cm box has a volumetric weight of 1.8 kg. The courier generally bills the higher of actual and volumetric weight, then applies its weight slab. Confirm the divisor for your selected service.

Help articles
Why does a small weight change affect the price?

Couriers sell weight in slabs rather than charging every gram separately. A parcel just above a slab boundary can move into the next slab. Compare the quote using final chargeable weight and the selected service’s base and additional-weight rules. Never reduce the declared weight to force a cheaper result.

Help articles
How do I choose the right box size?

Choose the smallest sturdy box that still leaves room for proper cushioning. Wrap the product, fill empty space and gently shake the sealed parcel; the contents should not move freely. A large empty box can raise volumetric charges, while a tight box can transfer impacts directly to the product.

Help articles
How should I pack fragile products?

First confirm the courier accepts the product category. Wrap each piece separately, protect corners and leave cushioning between items and the outer box. For delicate items, consider an inner box with cushioning inside a strong outer box. A fragile sticker alone is not protection or a guarantee of compensation.

Help articles
How do I pack clothes and sarees?

Fold neatly, protect the garment with a clean inner bag and use a tear-resistant outer mailer or box. Secure embellishments so they cannot puncture the pack. Keep the parcel dry and remove excess air without crushing the product. Weigh and measure the final pack, especially when several garments share a box.

Help articles
Can I send liquids, batteries or food?

These categories may have courier, route, packaging and transport-mode restrictions. Read the prohibited and restricted items policy, declare the contents accurately and confirm acceptance before booking. A successful rate estimate does not mean the item is approved. Never hide restricted contents under a different product description.

Help articles
Which packing photographs should I keep?

Keep clear photos of the product, cushioning, sealed outer box, label, scale reading and each dimension with a measuring tape. Match the evidence to the order or AWB and keep original files. This makes a weight or damage review easier, but does not override the courier’s claim terms or deadlines.

Help articles
What must be ready for pickup?

Seal each parcel, attach its correct label and keep the handover list ready. Place parcels in a dry, accessible location and tell the pickup contact how many are waiting. Booking a shipment and scheduling its pickup can be separate steps; check the panel’s pickup confirmation rather than assuming the rider is on the way.

Help articles
How do I print a readable shipping label?

Print at the size recommended by the label file, with a dark, sharp barcode and no clipped edges. Place it on a flat outer face, away from seams. Remove old labels from reused boxes. Avoid creases or shiny tape over the barcode and check that the AWB matches the parcel before handover.

Help articles
Why should I keep pickup handover proof?

A signed or digitally acknowledged handover record connects the parcels you gave the rider to their AWBs. Count parcels together and keep the date, courier and pickup reference. A printed label proves booking, not collection. If tracking has no pickup scan, this evidence helps support investigate the handover.

Help articles
What if the pickup is missed?

Check whether pickup was actually scheduled and whether the contact number and location are correct. Keep the parcels ready for the next attempt and raise the missed pickup with its reference and AWBs. Do not make a second shipment for the same parcel solely to request another pickup.

Help articles
Is a pickup time guaranteed?

Pickup windows depend on your pincode, courier, booking cutoff and local route. Use the confirmed window shown for your request and keep a reachable contact available. Plan around weekends and holidays. An indicative “within 24 hours” message is not a promise of an exact rider arrival time.

Help articles
Can pickup happen from a different address?

Add or select the correct pickup location before booking and check that the courier serves it. Do not hand a parcel to a rider at an unrecorded location without confirmation. If the original pickup is already scheduled, ask support how to update or cancel it before creating a new request.

Help articles
Which invoice or transport documents go with a parcel?

Keep an accurate commercial invoice or the document appropriate to the shipment. Additional transport paperwork can depend on value, goods and route; confirm requirements before dispatch with your accountant and courier. A shipping label does not replace an invoice. Put paperwork in a secure pouch without covering the barcode.

Help articles
Can one label cover several boxes?

Use one label per parcel unless the selected courier explicitly supports a multi-piece consignment with its own piece labels. Copying one AWB onto separate boxes can cause missing scans and delivery disputes. Record each box’s weight and dimensions and confirm the booking workflow before handing over a multi-box order.

Help articles
Does “label created” mean the courier has my parcel?

No. It means shipment details were generated; the parcel may still be with the seller. Look for a pickup or first acceptance scan and retain handover proof. If you are the buyer, ask the seller whether collection has happened before interpreting this status as a transit delay.

Help articles
How do I compare two courier quotes?

Compare the same origin, destination, packed weight, dimensions, payment type and order value. Check the full payable amount, transit estimate, COD fee and return charges rather than just the headline freight. A lower forward price may cost more overall if delivery attempts or returns are unsuitable for your buyers.

Help articles
Is the public rate calculator a final booking quote?

Use the public calculator for planning. It uses published rate information and an estimated zone; courier availability and final charges must be confirmed at booking. Enter final packed dimensions and review COD, return and any applicable surcharges. Do not promise a buyer a rate using an incomplete parcel estimate.

Help articles
How is the COD fee calculated?

A courier may charge the higher of a fixed amount and a percentage of the collected value. For example, at ₹30 or 2%, a ₹2,000 COD order has a ₹40 COD fee before any tax treatment in the quote. Check your selected service’s actual rule; COD collection and shipping freight are separate charges.

Help articles
What changes between prepaid and COD shipping?

For prepaid orders, the buyer pays the seller before delivery. For COD, the courier collects the declared amount on delivery and remits it on the agreed cycle after applicable adjustments. Confirm the collection amount before booking. A shipping wallet payment does not make the buyer’s order prepaid.

Help articles
When should I expect a COD payout?

Use the remittance date shown for your account and shipment, starting from confirmed delivery rather than booking. D+3 is a target for eligible verified sellers, not an unconditional promise for every order. Bank holidays, verification and the applicable cycle can affect the date. Review the COD remittance policy for details.

Help articles
How do I reconcile a COD payout?

Match the bank credit and UTR to the payout statement, then match each AWB to delivered COD orders. Separate collected value, fees and documented adjustments rather than treating one bank credit as one order. If a line is missing, send the payout reference and AWB to support, with unrelated bank transactions masked.

Help articles
My wallet payment is pending. Should I pay again?

First check the payment reference, bank status and wallet transaction history. Do not repeatedly pay merely because the screen is slow. If the bank shows a debit but the wallet has no matching credit, contact support with the payment reference, amount and time. Never send card details, PINs or an OTP.

Help articles
How should I budget for return-to-origin costs?

Estimate monthly shipped orders × expected return rate × return charge, and add forward charges and packaging already spent on those orders. For 500 orders with 10% returns, that is 50 returned parcels. Use your own recent return rate and the selected courier’s return slab; this is a cost estimate, not a forecast.

Help articles
What should I do about an extra weight charge?

Compare the courier’s measured weight and dimensions with your sealed-parcel evidence and the service’s slab rules. Raise the dispute promptly with AWB, original photographs and measurements within the published dispute window. Follow its status in the panel and retain the written decision; do not submit altered photos or only the unpacked product’s weight.

Help articles
Where can I find my AWB number?

Look at the shipping label or the tracking message sent by the seller. Sellers can find it in shipment details after booking. Copy the full number without spaces into the Track page. If you only have a shop order ID, ask the seller for the courier AWB rather than guessing a tracking number.

Help articles
Why is my AWB not found?

Check every character and confirm that you have an AWB rather than an order ID. Newly created bookings may take time to appear in tracking. Ask the seller to confirm the courier and collection status. If a confirmed AWB remains unavailable, share it with support; an empty result alone does not prove a parcel is lost.

Help articles
Why has tracking stopped updating?

Scans are recorded at milestones, so a parcel can be moving between hubs without a new event. Compare the last scan with the estimated delivery window. If that window is missed or a parcel stays at one location unusually long, contact support with the AWB and last scan time; avoid creating a replacement before checking.

Help articles
Is an estimated delivery date guaranteed?

An estimate uses the selected service and route; actual transit can change with pickup timing, holidays, weather or operational delays. Quote a realistic window to buyers and distinguish dispatch time from transit time. Check updated tracking before promising a date, especially around festivals or for remote destinations.

Help articles
What should a buyer do when the parcel is out for delivery?

Keep the registered phone reachable and have the exact COD amount or supported payment method ready if applicable. Share directions through the verified delivery contact. Provide a delivery OTP only when the parcel is physically being delivered; never confuse it with a bank or login OTP.

Help articles
Tracking says delivered, but I did not receive it. What next?

Check whether a family member, reception or authorized recipient accepted the parcel, without assuming they did. Report the issue promptly to the seller and support with AWB, scan time and your confirmation that it is missing. Ask for proof-of-delivery review. Do not share a fresh OTP with someone claiming it will reverse a delivered scan.

Help articles
What does a failed delivery attempt mean?

It means the courier recorded a reason the parcel was not handed over. Read the reason and confirm the buyer’s account of what happened. A wrong phone number, unavailable recipient or address problem needs a different fix from an incorrect courier scan. Respond through the official NDR link or seller support as soon as possible.

Help articles
How do I request another delivery attempt?

Use the official failed-delivery response link if available, or contact the seller with your AWB and a reachable phone. Confirm whether you want delivery, the correct directions and when you can receive it. A requested date or address correction is subject to seller rules and courier acceptance; it is not guaranteed until confirmed.

Help articles
Why are buyer details hidden on public tracking?

Tracking links can be forwarded, so full addresses and personal contact details should not be public. Use the seller’s authenticated panel or an approved verification flow for sensitive information. Do not post labels or tracking screenshots containing phone numbers and addresses in public groups when asking for help.

Help articles
How is RTO different from a customer return?

Return to origin happens when the original forward shipment is not delivered and goes back to the sender. A customer return starts after delivery, under the seller’s return policy, and normally requires a separate reverse booking. Keep these categories separate in your records because approvals, charges and refund decisions differ.

Help articles
How do I cancel a shipment before pickup?

Check the current status and use the cancellation option in the seller panel, or ask support with the AWB. Confirm cancellation before discarding the label or rebooking. Keep the parcel out of the pickup pile. After collection, cancellation and refunds follow the applicable policy and may no longer be available.

Help articles
Who approves a return for a wrong or unwanted product?

Contact the seller or store that sold the product; their return and exchange policy decides product eligibility and refund. GharShip handles transport and cannot approve the seller’s product refund on its own. Share order details and product photos with the seller, then use the approved reverse pickup instructions if a return is accepted.

Help articles
How should a customer pack a return?

Follow the seller’s approved return instructions and include the agreed accessories or documents. Protect the item as carefully as a forward shipment and photograph the contents before sealing. Use only the new return label where required and remove old outward labels. Keep reverse pickup acknowledgement until the seller confirms receipt.

Help articles
What evidence helps with a damaged parcel?

Keep the original outer packaging, label and inner cushioning. Photograph all sides, the damaged product and the way it was packed, and note the delivery time. Report promptly through the seller and support using the AWB and invoice. Check the claims policy for the applicable deadline; do not repair or discard evidence before review.

Help articles
How do I report a parcel that may be lost?

Send the AWB, last scan, pickup proof, contents and invoice value to support. An overdue scan needs investigation and is not automatically a confirmed loss. Keep the buyer informed without promising compensation before the claim is assessed. Follow the published claims policy and retain the investigation or ticket reference.

Help articles
How do I follow up on a shipping refund?

Identify whether the refund concerns shipping charges, a wallet payment or the seller’s product sale. For shipping, keep the AWB, cancellation or claim reference, approved amount and original payment method. Check the applicable processing timeline and contact support with that reference if it is missed. Product refunds must be followed up with the store.

Help articles
What should I include in a support request?

Include one clear issue, affected AWBs, dates, relevant screenshots and the outcome you need. Use an existing ticket reference for follow-ups so the history stays together. Mask unrelated personal or bank details. Keep the latest reply and evidence; sending the same complaint in many new threads can make the timeline harder to follow.

Help articles
How do I escalate an unresolved complaint?

Start with support and retain its reference. If the issue remains unresolved, send the history and requested outcome to customer care, then use the grievance route when needed. The grievance page lists contacts and response timelines. Keep the facts in date order and avoid posting private buyer information publicly to obtain a response.
